1. Project Pricing and Advance Payment

All website development projects require an advance payment of 50% of the total approved project cost before development work begins. The remaining 50% must be paid before the website launch.

The full project cost must be paid before the website is made publicly accessible, unless otherwise agreed in writing.

Clients selecting a Monthly Digital Business Management Plan may also be required to pay a security deposit equal to one month of the applicable management fee before launch, subject to the terms of their selected plan.

All project costs, service inclusions, additional charges, and payment conditions will be specified in an approved quotation or written agreement.

2. Client Responsibilities and Required Information

After making the required initial payments, the client should provide all essential information and materials, preferably within two working days, including:

• Business name and description

• Website text, content, and paragraphs

• Logo, photographs, and branding materials

• Products and services information

• Contact number, WhatsApp number, and email address

• Business address or service area

• Other documents and information required for development

Delays in providing content, approvals, or feedback may extend the project timeline.

3. Website Development and Estimated Timeline

Solvexa Website Pro designs, develops, and tests professional websites according to the client's approved requirements.

The estimated development and launch timeline is 7–14 working days, beginning after the required payment and all essential client materials have been received.

This is an estimated timeline, not a guaranteed delivery date. Project complexity, additional features, changes in scope, third-party services, and client-side delays may require additional time.

4. Premium and Customized Website Development

Solvexa Website Pro offers customized website development services, including premium projects costing ₹2,49,000 or more, depending on the client's requirements and approved project scope.

The final cost depends on design, functionality, integrations, content requirements, and technical complexity. Deliverables, pricing, timelines, and additional charges must be approved in writing before the relevant work begins.

5. Payment Completion and Website Launch

The remaining 50% of the approved project cost must be paid before launch.

The website will be launched after:

• The full approved project cost has been paid.

• Required content and client approvals have been received.

• Any applicable security deposit has been paid.

• Essential technical and launch requirements have been completed.

Additional features or changes outside the approved scope may incur extra charges and require additional time.

6. First Month Free and Monthly Digital Business Management

Eligible clients who select a Monthly Digital Business Management Plan will receive the first month of management service free of charge, starting from the website launch date.

The free first month does not automatically waive the security deposit, domain fees, hosting fees, third-party subscriptions, or other charges specifically excluded from the offer.

Regular monthly management fees will begin from the second month according to the selected plan and written agreement.

Clients may choose an available 12-month or 24-month management plan.

Depending on the selected package, services may include:

• Routine website maintenance and updates

• Software and security updates

• Standard bug fixes

• Website performance checks

• Technical support

• Routine content updates within the agreed scope

• Backups and security monitoring, where included in the plan

Major redesigns, new features, extensive content changes, third-party subscriptions, and work outside the agreed scope may incur additional charges.

7. Monthly Management Security Deposit and Refund

Clients selecting a Monthly Digital Business Management Plan may be required to pay a security deposit equal to one month's management fee before the website launch.

This deposit is separate from the website development advance and regular monthly management fees.

If a monthly payment becomes overdue, outstanding amounts may be adjusted against the security deposit only as permitted by the written agreement and applicable law. If any portion is used, the client may be required to replenish the deposit within the agreed period.

The security deposit is not a permanent substitute for monthly payments.

Security Deposit Refund Conditions:

Upon completion of the selected 12-month or 24-month management term, the deposit will be eligible for a refund if all applicable fees and outstanding amounts have been settled.

Any authorized deductions will be itemized. Following final account reconciliation, the refund will be processed within the period specified in the written agreement.

8. Monthly Maintenance Cancellation Policy

Clients who wish to discontinue Monthly Digital Business Management must provide written notice in accordance with the notice period stated in their agreement.

After cancellation becomes effective, routine maintenance, technical support, security monitoring, and other recurring services may stop. Continued website availability, hosting, domain services, and backups will depend on their respective arrangements and payments.

Clients may choose to pay three months or six months of management fees in advance, where these options are available.

If a client cancels a prepaid service before the end of the paid period, any refund of unused fees will be determined according to the written agreement and applicable law. Any permitted deductions will be clearly explained.

Cancelling management services does not automatically cancel separately billed domain registration, hosting, or third-party subscriptions.

9. Project Cancellation by the Client

If a client cancels a project after paying the 50% advance, the cancellation will be assessed according to the approved agreement, work already completed, resources committed, and applicable law.

Any non-refundable advance payment or cancellation charge must be clearly stated in the agreed terms and must be legally permissible. Amounts legally due to the client will not be withheld contrary to applicable law.

Any management security deposit paid by the client will be handled separately under the Security Deposit Policy.

Clients should carefully review the project scope, pricing, timeline, and cancellation conditions before confirming an order.

10. Project Cancellation by Solvexa Website Pro

If Solvexa Website Pro cancels a project because it is unable to deliver the agreed services, and the cancellation is not caused by the client, any applicable refund will be calculated according to the written agreement and applicable law.

Deductions for completed work or services already delivered will be made only where permitted by the agreement and applicable law. Any such deductions will be explained to the client.

Where a refund is due, Solvexa Website Pro will inform the client of the refund amount and expected processing timeline.

A 6–12 month period is not an automatic or unconditional refund deadline. Any extended timeline must be expressly agreed where legally permissible. Otherwise, refunds will be processed within the applicable contractual or statutory timeframe.

Any eligible security deposit will be reviewed separately, with permitted deductions and outstanding amounts reconciled before the refund is processed.

11. Online Payment Methods and Invoicing

Payments may be made through available supported methods, including:

• UPI

• Bank transfer

• Credit or debit card through an available payment gateway

• Other payment methods approved by Solvexa Website Pro

Invoices or payment confirmations will be provided where applicable. Clients should retain payment records and use only officially communicated payment channels.

Any applicable third-party payment gateway charges will be disclosed before payment.

12. Domain Ownership, Hosting and Third-Party Services

Subject to applicable registration and payment terms, the client will own their registered domain name.

Website hosting, server resources, email services, premium plugins, software licences, and other third-party services will be provided according to the selected package and written agreement. Additional charges may apply.

Domain and hosting renewal fees must be paid when due to avoid service interruptions. Third-party platforms and service providers operate under their own terms and policies.

13. Data Privacy and Website Security

Solvexa Website Pro will apply reasonable technical and organizational measures to protect client information. Client information will be used for agreed purposes, including website development, hosting, maintenance, technical support, and security-related work.

No website or online system can be guaranteed to remain completely secure or uninterrupted. Backup availability and data recovery depend on the selected plan, available backups, and the circumstances of the incident.

Clients retain their rights to their business data, domain, and accounts, subject to applicable agreements and third-party terms. Access credentials should be handled securely, and third-party access should be appropriately coordinated.

14. Plan Upgrades and Additional Services

Clients may request plan upgrades, new features, additional pages, integrations, redesigns, or other customization services.

Additional work will be assessed separately. Its price, scope, and timeline must be approved in writing before the work begins.

15. Late Payments and Service Suspension

If a client fails to make a payment by its due date, Solvexa Website Pro may issue a payment reminder and provide any applicable contractual grace period.

If the outstanding amount remains unpaid, services may be restricted or temporarily suspended as permitted by the written agreement and applicable law. Where reasonably possible, advance notice will be provided.

The client remains responsible for applicable outstanding charges. Any action involving website access, data, hosting, or domain services will be handled in accordance with the agreement and applicable law.

16. Breach of Terms and Future Service Eligibility

Clients are expected to provide accurate information, make payments according to the agreed schedule, and comply with applicable service terms.

In cases involving substantiated fraud, abusive conduct, repeated payment violations, or a material breach of the agreement, Solvexa Website Pro may suspend services or restrict future service eligibility following an appropriate review and subject to applicable law.

Any internal restriction or refusal of future service will not remove rights or obligations arising under applicable law.

17. Acceptance of Terms and Conditions

By approving a quotation, signing a service agreement, or making a project payment, the client acknowledges that they have had an opportunity to review the applicable pricing, scope of services, payment schedule, monthly management terms, cancellation conditions, and refund policy.

Any changes to the agreed terms must be documented in writing and accepted by the relevant parties.

Nothing in this policy is intended to exclude or restrict any consumer or other legal right that cannot lawfully be excluded or restricted.
